JOB PURPOSE:

The main purpose of the job is to provide a professional and comprehensive reception service to Mall Management clients.  The receptionist is primarily responsible for coordinating the mall management reception; she is the first point of contact to clients and retailers and waiting area and ensure that they are maintained to a high standard throughout each day.

Financial Dimensions:

  • Responsible for acknowledging and redeeming gift vouchers in cash or cheque from retailers daily.
     
    Reception (Meet & Greet), Appointment Notification, Call Management, Reception Security) :
  • Ensuring that the reception area is clear of any litter and that the access door is unlocked within the appointed hours of business.
  • Receiving and greeting all visitors professionally, answering general questions where possible and referring specific enquiries to other staff where appropriate.
  • Receiving and directing all incoming calls, taking messages and distributing all messages efficiently to relevant staff.
  • Handle the Telephone system

 

Performance Indicators:

  • Daily checking and ensure ongoing tidy and professional appearance of the reception and waiting area.  The reception area is maintained to a high standard and presented professionally at all times.
  • Directing visitors to the comfort of the waiting area while relevant staff of the arrival of the visitor.  Visitors are greeted warmly, treated respectfully and professionally with staff being made aware of appointments in a timely manner.
  • All incoming calls are managed promptly, and recipients get their message in a timely manner.
  • Handle and manage the new Telephone system.
  • Sorting, collating and coordinating the distribution of mail received.
  • Promptly handling the online courier system.
  • Ensure there is no duplication of bookings for the rooms and advise the office boy on servicing of meeting and conference rooms while the meetings are in progress.
  • Ensure the rooms are kept clean and tidy prior to the start of every meeting.
  • Ensure that all information is updated on outlook for the entire team at all times.  
  • SRs to be created for all IT related cases and have them sorted.
  • Collate The requests from all the departments and place orders for monthly office supplies.
  • Staff find the level of support provided to be reliable and of a high quality.
  • Data entry is keyed with 100% accuracy and in a timely manner.
  • All paper work is completed accurately, in a timely manner and filed accordingly for future references.
  • Actively support in all the Employee Engagement Activities.
  • Verification of vouchers with regards to the serial number and expiry date. Preparation of accurate gift voucher statements on daily basis for approval of the GM and to be sent to Finance on regular basis to ensure reimbursement is received within 15 working days.
     
    Office Support:
  • Receiving all incoming mail, courier packages and other deliveries.
  • Courier Documents
  • Meeting/Conference Rooms – Responsible for booking conference/meetings rooms for all team members based at the management office.
  • Outlook Details for all Employees - Responsible for accurate information on Outlook for the entire MM Team. 
  • IT Support:   Handle SRs for all IT related issues.
  • Office Supplies:  Handle requirement of Office supplies for the MM Office.

Job Context:

The role is required to contribute to the provision of quality services by providing administrative support in a professional and efficient manner which will reflect the company’s reputation in the shopping centre industry.  Work along with a team of professionals, the individual will be required to demonstrate initiative and works as an enthusiastic team member in accordance with the organisation’s office routines and procedures.

 

 

Minimum Qualifications and Knowledge:

  • Diploma/Bachelors.
  • Bilingual (English and Arabic speaking skills required|).
  • Sound understanding of the Microsoft suite of applications (MS Word, Excel and PowerPoint)
  • Understanding of database management.

 

Minimum Experience:

  • 3-5 years relevant experience in working successfully in a medium and large-scale reception environment.
  • Professional management of a multiline phone system.

  • Interpersonal skills that portray a welcoming atmosphere, friendly disposition and helpful nature.
