Guest Relation Officer at Hill International – UAE
Job Description:
- Induction and training of all new staff to agreed standards.
- Oversee e-learning of all reception staff.
- Ensure adequate staffing levels, approve annual and other leave, and organize rotas ensuring all functions are covered as required.
- Deal with more complex enquiries from visitors including informal complaints relating to reception functions.
- Continually assess and evaluate systems and quality, recommending changes and improvements to the Supervisor as appropriate.
- Manage day to day issues that may arise within the team or with individuals.
- Regularly evaluate the quality of individual and team performance.
- Bi-monthly 1-2-1 reviews with all reception staff.
- Bi-monthly team meetings.
- Support the annual appraisal process for reception staff.
- Deal with general telephone enquiries from visitors.
- Register visitors, ensuring full practice information is given.
- To participate and support Health and Safety standards and documentation under the guidance of the Supervisor. Maintain records of incidents.
- Quarterly reviews of risk assessments.
- To liaise with the supervisor as necessary while supervising a Team of Receptionists.
- Communicate effectively with other team members.
- Communicate effectively with visitors from all over the world.
- Recognize people’s needs for alternative methods of communication and respond accordingly.
- The post-holder will strive to maintain quality within the Practice, and will.
- Alert other team members to issues of quality and risk.
- Assess own performance and take accountability for own actions, either directly or under supervision.
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance.
- Work effectively with individuals in other venues.
- Effectively manage own time, workload and resources.
- Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development.
- Taking responsibility for own development, learning, and performance and demonstrating skills and activities to others.
- Training requirements will be monitored by yearly appraisal. Personal development will be encouraged and supported by the Practice.
Job Requirements:
Education:
- A Bachelor’s Degree in a relevant discipline is preferred.
Relevant Experience:
- A minimum of 4 years of experience working in the related field.
Technical Knowledge/ Skills/ Training required:
- An in-depth understanding of Emirati culture.
- A high degree of computer literacy and demonstrated ability to integrate technology in the workplace.
- Strong verbal and written communication skills and demonstrated competency to interact with people at all levels of the organization.
- Well-developed organizational and presentation skills
- The ability to work effectively as a team member in a multi-cultural environment.
- A demonstrated a willingness to engage in professional development activities to develop and improve new and current skills and to adapt to the evolving needs of the organization.
