Job Title: Commercial Administrator
Reports to: Commercial Manager
Department: Digital Transformation - Al Futtaim Technologies

JOB PURPOSE
Al Futtaim Engineering & Technologies would like to hire a dynamic Commercial Administrator (CA) who will be responsible for processing the commercial day-to-day transactions as aligned with organizational goals and objectives. The CA will proactively identify commercial risks and opportunities, and carry out value engineering exercises in close coordination with the line manager and business heads. He/she will also work closely with various leaders to streamline commercial activities, focusing on long term contracts with suppliers and customers.
The CA will be responsible for ensuring the company has an appropriate system of internal controls and transparency that can address risks in three areas: customer/vendor management, regulatory compliance and Contracts.
This role is demanding, challenging, and complex but for those who are strongly invested in the organizations they work for, it is tremendously satisfying work, in which personal success translates directly into the success of the company.
In summary, this role is created to provide a complete service interface between internal/external customers, contractors and business units through processing contracts for services and material in line with the approved budget, given timeframe and quality standards to ensure overall satisfaction.
KEY ACCOUNTABILITIES
Technical
- Execute sales orders in timely manner, recognise revenue and review accounts receivable for collection.
- Co-ordinate and work closely with business partners from sales and finance teams for proper identification of unaccounted credit and its clearance.
- Monitor accounts payable and reconciliation of principal accounts.
- Work closely with Sales and Operations and prepare necessary cost sheets, ensure timely creation of sales orders, issue purchase orders and delivery orders, submit invoices to customer.
- Liaise with finance team to submit LC documents and follow up payments process.
- Review customers’ contracts in coordination with the Legal department.
- Support the business in issuing partnership agreements and long-term contracts including AMC renewal and principal agreements.
- Issue contracts to vendors and recommend the suitable type of contract based on scope complexity and contract’s value.
Administration
- Ensure approvals are obtained in accordance to the policies & procedures and the Delegation of Authority (DOA).
- Create a complete track of customer’s contracts, customer’s deliverables and contracts milestones and program.
- Generate accurate reports and analysis and maintain tracking sheets (manual or automated), as necessary.
- Maintain record for deliverables per contract.
- Generate and present reports to senior management
- Ensure all commercial records are updated in the system

We are looking for a qualified Commercial Administrator to join our team. The CA will be responsible for implementing and adhering to the approved policy and procedures to effectively and efficiently deliver the necessary tasks within the commercial service function.
QUALIFICATIONS, EXPERIENCE & SKILLS
Minimum Qualifications and Knowledge:
- Bachelors/ Post Graduate of Commerce or Business Administration
- CPPM certificate is preferred
Minimum Experience:
- 5+ years of experience in commercial/ contracting management. UAE experience preferred
Job-Specific Skills:
- Experience in issuing sales reports and orders processing.
- Advance knowledge in contractual types of engagement
- User experience in SAP is a must
- Knowledge in Incoterms standards
- Proven customer satisfaction abilities
- Advance knowledge of MS Office
- Analytical skills
