  • This role performs varied administrative duties in support of three Managing Directors of Corporate Real Estate and their project management teams. 

What you'll do

As noted above, this list is intended to reflect the current job but there may be additional essential functions (and certainly non-essential job functions) that are not referenced.  Management will modify the job or require other tasks be performed whenever it is deemed appropriate to do so, observing, of course, any legal obligations including any collective bargaining obligations.

  • Maintains calendars of appointments; coordinates meetings and events, including catering, A/V setup, and WebEx

  • Uses MS Office software (Outlook, Word, Excel, PowerPoint) to create correspondence, reports, memos, and presentations

  • Coordinates travel arrangements, requiring familiarity with booking travel and ability to anticipate travel needs and mitigate issues in a timely manner

  • Acts as department timekeeper using Workbrain; publishes weekly travel schedule

  • Onboards new team members and contractors, ensuring they have everything needed for a successful start

  • Prepares expense reports, handles mail and shipping, and directs or responds to inquiries

  • Orders supplies and equipment as needed

  • Performs other duties as assigned by Managing Directors

All you'll need for success

Minimum Qualifications- Education & Prior Job Experience

  • High school diploma or equivalent
  • At least 2 years of proven administrative or assistant experience

Preferred Qualifications- Education & Prior Job Experience

  • Previous AA office administrative experience
  • Working knowledge of WebEx, Workbrain, Concur, and QuickBuy
  • Familiarity with Adobe Acrobat, SAM, Employee Central, and SABRE helpful

Skills, Licenses & Certifications

  • Skilled in Microsoft Office software (Outlook, Word, Excel, PowerPoint) gained through either work experience or education and hands-on use of the software

  • Must have a professional and collaborative working manner and exercise a high degree of integrity, discretion, and confidentiality

  • Ability to effectively handle competing priorities and meet deadlines in a fast-paced environment with attention to detail

  • Ability to work effectively in a self-directed capacity with minimal supervision

  • Must be proven team player, highly motivated with demonstrated initiative, flexibility, and multitasking

  • Must be very organized and have strong problem solving skills

  • Ability to communicate effectively, both verbally and written, with all levels within the organization and with external parties
