About the Position

Role Purpose

Responsible for the smooth functioning of the CFC Mall offices in conjunction with the team, by managing the front desk office of the mall offices, providing effective administrative support to the team and ensuring high standards of maintenance and upkeep of office premises, availability of office supplies, responsible for the collection of sales reports from tenants and consumables for day to day operations, managing the efficiency of the mall driver.

 

Key Accountabilities

  • Act as the first point of contact for the Mall Office and liaise with people from both internal and external organisations.
  • Provide excellent customer service to all visitors and guests.
  • Responsible for screening telephone calls, enquiries and requests and re-directing calls as appropriate and take adequate messages when required.
  • Ensure knowledge and familiarity with company’s policies and procedures to provide sound and appropriate replies to queries.
  • Responsible for the upkeep and maintenance of the mall offices and ensure that all office equipment & facilities are in working condition.
  • Monitor upkeep of all meeting room and its Facilities.
  • Manage the outsourced pantry attended to ensure the upkeep of common areas such as kitchen, washrooms; coordinating with all sub-contractors (cleaners, canteen, plant suppliers, pest control etc.) for provision of their services
  • Provide logistical support to meetings held in the mall meeting rooms, to include preparation of meeting rooms and assist in arrangements for catering provisions.
  • Set up video conferences efficiently and ensure there is no connectivity issue.
  • Responsible for maintaining document tracker and circulation.  Record all incoming and outgoing documentation in accurate manner.
  • Responsible for tracking inventory status reports of office IT equipment’s such as laptops, monitors and laptops. 
  • Responsible and oversee the schedule of the mall driver to ensure that he is being utilised efficiently.
  • Check on his logs on weekly basis to ensure all entries are being made of travel
  • Assist the Office Manager, GM CFC Mall and other team members in other adhoc tasks related to administration as and when required.

About You

Minimum Qualifications and Knowledge:

Educated up to degree or diploma level, whilst additional qualification via a diploma/ certificate course Office Administration would be an advantage.

 

Minimum Experience:

3-5 years of experience in Administrative and/or receptionist role function in a large sized company and basic level supervisory skills essential to perform the job effectively.

 

Job-Specific Skills:

Excellent written and oral communication skills, including an ability to provide effective and appropriate advice and information to a variety of people and to use discretion with confidential information.

 

Excellent organisational and administrative skills, including an ability to meet deadlines and manage a varied workload in a busy environment
