About the Role

We are currently looking for Senior Leasing Administrator to support our Group Leasing Team in Retail Property Department Division. Reporting to the Leasing Manager, this person will be reposnbile for the following:

    • Maintain and update the Lease Database across the retail portfolio, update all the commercial terms in the Database in line with the set Leasing guidelines.
    • Follow-up with Landlords and internal stakeholders on New Leases, Renewals, Addendums, invoices, store closure / opening and all other Leasing Administration matters, processes, dispatch of documents and payments.
    • Review the New Leases / Renewal proposals received and present the comparison report to the Leasing Management.
    • Maintaining updated floorplans of all key Shopping Malls around the region
    • Keeping a detailed database of contact details to all Landlords in the region
    • Ensure invoices and Statement of Accounts received from Landlords are in compliance with Landlords and development coordinators to ensure the timely processing and billing / payments of new Lease. In case of any issues in the invoices, SOAs coordinating the same internally and with Landlords to resolve the issues.
    • Managing and tracking Lease Renewals as well as variations in Lease via DOV & termination of Lease via Deed of Surrenders.
    • Responsible to prepare all periodic and AD Hoc reports, including but not limited to current Leases, New Lease agreements, Renewals, Lease Expiry, Sales Performance rental-savings, Lease tracking and presentations that are requested by Leasing Management
    • Responsible to ensure internal coordination within business divisions and project team for New Lease, Lease Renewal confirmations and fit out, opening and handover of the premises to landlord.
    • Administer and follow up on all processes / documents that relate to the Lease Contracts relates pertaining to Government Authorities.
    • Discuss and resolve problems and follow up regarding delayed and scheduled deliveries and Leasing Contracts.
    • Respond to departmental requests, inquiries and problems regarding leasing property and services.
    • Liaising with audit team for all audit related inquiries and assisting with the required information / reports
    • Review and vetting of contracts including leases, subleases, shared space agreement, amendments and renewals for inclusion of certain terms and liaising with Legal team for their feedback.
    • To provide timely reports to the Management on occupancy cost, month wise cash flow planning and other KPIs.
    • Ensures accurate filing of all Lease Contracts, digitally and in hardcopy, with proper tagging to ensure all documents are safely files and kept for future references for business and legal review as and when required.
    • To coordinate with Finance and arrange audit reports (confirmation of Gross Sales) from external Auditors and furnish the same to the respective Landlords on a timely manner.

 

About the Requirements

3-5 years experience in leasing role or similar

Bachelor's degree or diploma

Extremely organized and attentioan to details
