Job Purpose:
The PMO Administrator will directly support the planning and execution of data and analytics programs facilitating their successful delivery. The role ensures effective governance is applied across data and analytics programs and assists in regular reporting (weekly, monthly, quarterly). Reporting to the Director – Data and Analytics, this role will also provide administrative support for the Director in a pro-active manner, with minimal supervision and a focus on confidentiality.
Specifically, your key responsibilities are as follows:
Standards, Governance and Reporting
- Support in the development/customisation of processes and templates throughout the project lifecycle
- Implement reporting standards across the program, including tracking, monitoring and updating the status of deliverables. Coordinate to ensure regular project and program reporting.
- Manage document repository across projects including vendor contracts, project charters, etc.
Project Support
- Actively support data and analytics projects and programs by performing administrative activities, assisting in project documentation and reporting
Financial Management
- Support the Data and Analytics Office budget planning process in alignment with departmental goals, initiatives pipeline and overall program roadmap. Monitor the budget on an ongoing basis in coordination with Finance and EIT.
Personal and Office Administration
- Management of day to day activities (complex diary management, travel bookings, meetings scheduling/facility management and rescheduling) of the Director.
- This includes management of Director’s communications for e.g. screening phone calls, handling and prioritizing incoming mail, processing expense reports, drafting general correspondence, executing on-line workflow approvals on behalf of Director based on his instructions
- Manage inventory of office supplies for Data and Analytics Office. Coordinate with relevant Group Function on any issues relating to physical office maintenance and upkeep
About You:
The ideal candidate for this role will possess minimum of 5+ years working experience in executive administration and/or project support. Transformation/digital/data projects is an added advantage.
Ideally, we are looking for the following job-specific skills:
- Knowledge of a formal project management methodology (PMI, Prince, Scaled agile, etc)
- Strong organization skills with the ability to handle numerous tasks at one time
- Ability to work under pressure
- Excellent interpersonal skills with the ability to interact professionally at various levels across AFG
- Advanced use of MS Office applications and experience with project management tools
