The Campus Operations Coordinator is a member of the Communications Delivery & Experience team under Global Engagement. The person in this role will help create the ideal environment for learning by caring for the basic needs and delivery logistics of learning events, primarily held at the American Airlines Training & Conference Center.

What you'll do

Provide exceptional customer service to our internal customers who are delivering learning experiences by preparing materials needed for learning events [may include participant guides and other supplies necessary to facilitate the class]

  • Act as the primary point of contact between the business units’ learning teams, and the vendors, suppliers, and internal teams supporting the delivery of learning events
  • Coordinate the room reservation of all learning events at Skyview 5 [Training & Conference Center], ensuring the process is adhered to by all teams
  • Facilitate the inventory management of learning materials and classroom supplies, including ordering, fulfillment monitoring, receiving deliveries, storage, sorting and shelving in an organized manner
  • Review and approve invoices received from vendors to ensure accuracy, at least once a month
  • Monitor print order requests from learning teams, and coordinate with vendors on timely fulfillment of orders
  • Set up classes ahead of the class start time, ensuring facilitators and learners have all the materials and supplies needed as specified in the class checklist
  • Tear down classes after each session, ensuring reusable materials are stored properly for future use
  • Manage email and phone correspondences and respond promptly with a customer service mindset
  • Prepare and / or coordinate the shipment of training materials for classes in other locations
  • Keep the learning production room organized and attend to learning facilitators’ requests for assistance
  • Lead or participate in regular touch-bases/meetings with business unit stakeholders and vendors
  • Lead or contribute to strategies for the sustainability of Campus Operations processes
  • Accomplish required tracking, reporting, and other administrative tasks needed for the job
  • Assist in other Campus Operations activities occasionally or as needed

All you'll need for success

Minimum Qualifications- Education & Prior Job Experience

  • High School Diploma / GED
  • 1 year of relevant work experience

 

Preferred Qualifications- Education & Prior Job Experience

  • Customer service orientation
  • Working knowledge of Microsoft Excel, Word, Outlook, and internet browsers
  • Familiarity with SumTotal LMS, SharePoint, and Coupa


Skills, Licenses & Certifications

  • Self-motivated, organized, plans ahead, has attention to detail, and has good time management
  • Ability and willingness to lift approximately 30 - 50 lbs daily
