- You will be responsible for providing administrative, clerical, and organizational support to a Managing Director
What you'll do
- Aids with preparation of management presentations and special projects as required
- Supports auditing and compliance activities as required
- Handles payroll processing in Workbrain for management and support staff
- Coordinates travel arrangements, meetings, and appointments for senior level managers
- Assists in event planning, coordination, and execution
- Protects the integrity of confidential information for all matters
- Prepares and tracks expense reports and submits invoices for payment
- Receives incoming telephone calls and inquiries and routes appropriately
- Manages office incoming and outgoing correspondence
- Ensures document filing is kept up-to-date and the filing system is maintained properly
- Interacts with all levels of management, clients, and business community leaders
- Performs general office manager duties and administrative tasks as required
- Submit facility requests for repairs
- Maintains office supplies inventory
All you'll need for success
Minimum Qualifications- Education & Prior Job Experience
- High school diploma or GED equivalent
- Prior work experience as an administrative assistant or equivalent role supporting senior management
Preferred Qualifications- Education & Prior Job Experience
- 3 years’ work experience in a prior executive or administrative role
- Ability to speak, read, and write Spanish or Portuguese
Skills, Licenses & Certifications
- Knowledge of Microsoft Office to include Word, Excel, PowerPoint, Outlook, etc.
- Superior typing skills
- Skilled in reviewing, screening and prioritizing mail and telephone calls
- Skilled analytics and problem solving
- Ability to possess the highest regard for confidentiality and professionalism
- Ability to easily grasp the concepts and functionality of airline specific software and self-motivated with
- strong organizational skills, ability to prioritize work, be detail oriented and meet deadlines
- Ability to perform in a fast-paced environment, manage multiple tasks simultaneously and function as an
- integral part of a team with minimal supervision
- Ability to partner and collaborate with team members in a proactive and positive manner
