Job Description:
- Produce and distribute correspondence memos, letters, faxes and forms
- Support senior managers and executive with daily clerical tasks
- Plan meetings and take detailed minutes
- Answer phone calls, provide information to callers or connect callers to appropriate people
- Schedule appointments and update calendar
- Make travel arrangements and reservation for senior managers
- Compose and type regular correspondence, like invitations and informative material
- Greet and provide general support to visitors
- Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, etc…..)
- Maintain contact lists
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc…)
- Handle confidential documents ensuring they remain secure
- Assist the manager in organizing, planning and implementing a strategy
- Develop and maintain a filing system
- Ensure the smooth and adequate flow of information with the company to facilitate other business operations
Job Requirements:
Education:
- Bachelor degree or equivalent.
Relevant Experience:
- Proven work experience as an assistant manager or similar position
Technical Knowledge/ Skills/ Training required:
- In-depth understanding of office management and daily operations
- Experience with MS Office
- Working knowledge of office equipment, like printers and fax machines
- Excellent verbal and written communication skills
- Strong organizational skills
- Proficiency in English
