- The Administrative Assistant (Employee Liason) role provides support to our managers and team members, assisting in daily office needs and managing general administrative activities.
- The role is part of the International Reservations team within our Lima Reservations Office group. You’ll bring your time management, effective communication and organizational skills.
- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system for the department.
- Order office supplies and research new deals and vendors.
- Maintain contact lists up to date.
- Submit and reconcile expense reports.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients as well as vendors.
- Liaise with senior leaders and other stations' administrative assistants to handle requests and queries from managers.
- Support leaders throughout the organization to maintain effective communication channels.
Minimum Qualifications- Education & Prior Job Experience
- Experience as a Reservations Agent for at least one year.
- Be able to work a variety of full-time shifts (including overnight, weekend and holidays), according to operational needs.
- Experience with telephony equipment and software is required.
- Experience with a large intricate call center operation is preferred.
Skills, Licenses & Certifications
- Intermediate level of proficiency in MS Office (Excel, Word, Power Point, Outlook).
- Knowledge department systems, such as, AACoRN, Compass, Aspect and Cognos tool.
- Excellent writing and oral communication skills in English and Spanish.
- Proven above average interpersonal and organizational skills.
- Must be able to work under pressure and effectively multitask to meet the demands of the position.
- Demonstrate leadership, analytical and resolution skills, initiative and good judgment.
