Senior Operation Officer – Business Centre at Hill International – UAE
Job Description:
- Reach out to requestors through email, phone or in person, communicating to them about the services and facilities provided from the Corporate Business Centers Management Section, whether internally within the Client’s Group premises or externally (within the Hotel accommodation, meeting, conferences and events agreement).
- Conduct a quarterly site visit inspection externally (within the Hotel accommodation, meeting, conferences and events agreement).
- Planning and organizing events/activities by obtaining all the necessary requirements from the requestors, communicating with all the respective parties in order to ensure the delivery of all requested services.
- Respond to complaints and suggestions from the customer satisfaction survey, once provided by the Document Controller.
- Participate/assist/plan any tour required from the Management and become the focal point when and where it is required as delegated from the Senior Management.
- Create the agenda and coordinate with all the respective focal points assigned for the tour and obtain access if required.
- Touring the guests when required or assigning a team member from the Corporate Business Center Management Team.
- Benchmark Analysis – Contacting company representatives (similar to the Client) as required from the Senior Management and compiling all the necessary data’s/fees for the Managements Review.
- Coordinate with the document controller to ensure that all processes/forms related to the Corporate Business Centers Management Section are up to date.
- Answering customers’ inquiries and directing phone calls to the Coordinator related to meeting room bookings or concerned departments.
- Attending meetings with the Line Manager and following up with the focal points in regards to the assigned future projects/assignments/tasks when required.
- Taking and drafting the MOM during the weekly section meeting and sharing them accordingly with the respective team members once it is reviewed and approved from the Line Manager.
- Preparing the weekly tasks report and submit it to the supervisor for review, which will include the initial date and the completion of the same or any status update if not completed in the remarks section.
- Tracking and recording all the assigned projects and sharing it with the Senior Management when required.
- Collaborate with the Line Manager to ensure that proper customer service is being delivered, according to the Corporate Business Centers’ guidelines, etiquettes and standards.
- Train the new staff on the customer service experience, procedures, manuals, systems, forms and Corporate Business Center guidelines, standards and etiquettes.
- Cover any operating areas when and where required without affecting the business operations.
Job Requirements:
Education:
- A Bachelor’s Degree in a relevant discipline is preferred.
Relevant Experience:
- A minimum 6 years of experience working in a related field.
Technical Knowledge/ Skills/ Training required:
- An in depth understanding of Emirati culture.
- A high degree of computer literacy and demonstrated ability to integrate technology in the workplace
- Strong verbal and written communication skills and demonstrated competency to interact with people at all levels of the organization.
- Well-developed organizational and presentation skills.
- The ability to work effectively as a team member in a multi-cultural environment.
- A demonstrated willingness to engage in professional development activities to develop and improve new and current skills and to adapt to the evolving needs of the organization.
