  • The Flight Service Coordinator (Staff Assistant) role provides support and assistance to managers/team members and manage general administrative and operational activities. 
  • The role is a part of the Flight Service team within our Customer Experience - Flight  group. You’ll bring your time management, effective communication and organizational skills.
What you'll do

 

  • Respond to Flight Attendants general questions in person and by phone in a wide variety of topics.
  • Legal paperwork: Projected NAs, Real NAs, vacation forms, salary stubs (Preparation / Signature / Keeps logbook  /Filing).
  • Coordinates arrival and departure transportation with vendor.
  • Process FA’s expense reimbursements.
  • Invoices: process, upload in Invoice works and keep local spending spreadsheets updated.
  • Tablets: responsible of loaners in base and provide general support.
  • Sick and other absences.
  • Liaison between FAs and MetLife.
  • Liaison and consultant to Chile Sueldos y Beneficios.
  • Preparation of certificates and letters requested by FAs.

 

General

 

  • Orders office supplies and maintains the e-board in the crew rooms.
  • Cooperates with Duty Manager with all aspects of Planning and Payroll.
  • In the absence of the Duty Manager, the Flight Service Coordinator will assume all Duty Manager administrative and operational functions.
  • Coordination of local Base meetings.
  • SAP: monthly review.
  • Special projects as required.
  • Good understanding of the collective bargaining agreements and working with a contract labor group.
  • Viaticos Stubs: printing and distribution.
  • CQ in DFW: send FAs PNRs, hotel and transportation info before each group departs.

Minimum Qualifications- Education & Prior Job Experience

 

  • Previous on-the-job office/clerical and administrative experience.
  • Must possess excellent communication and organization skills.
  • Business Administration degree will be considered a plus.
  • Be able to work morning and night shifts including weekends and holidays. Rotates shifts and days off, and works overtime when required.
  • Good understanding of the collective bargaining agreements and working with a contract labor group.
  • Ability to read, write, fluently speak and understand the English and Spanish language

 

Skills, Licenses & Certifications

 

  • Intermediate level of proficiency in MS Office.
  • Proven above average interpersonal and organizational skills.
  • Excellent writing and oral communication skills in English and Spanish.
  • Must be able to work under pressure and effectively multitask to meet the demands of the position and deadlines.   
  • Demonstrate leadership, analytical and resolution skills, initiative and good judgment.
  • Be proactive and problem solving oriented.
