What you'll do

  • Assist Sr Project Manager and Sr Manager overseeing relationships with domestic and international customers by handling internal and external inquiries and communications.
  • Interface with Airport General Managers, other airline (OA) carrier customers, accounts receivable, finance and other departments like Purchasing, Policies & Procedures, Corporate Travel Services, Network Planning, Service Recovery, Airport Safety & Risk Management, and Human Resources.
  • Research and process inquiries to resolve discrepancies relating to OA agreements, both internally and externally to present to Sr Project Manager for resolution.
  • Maintain a central filing system and system-wide contract database.
  • Draft and distribute copies of agreements and official notices to various internal departments and to customers on behalf of Sr. Project Manager.
  • Facilitate redline edits and version control of documents 
  • Review agreements for proper authorization and documentation according to American Airlines Resource Approval Policy (RAP).
  • Maintain, forward and catalog correspondence through organizational tools to meet critical timelines and terms for OA agreements.
  • Assist with TDY assignments and accommodations across airport operations as needed.
  • Compile, organize, and make brief analysis of data and project work for Business Partner Support team as needed. 
  • Oversee incoming and outgoing correspondence, mail and faxes
  • Prioritize tasks to determine items requiring immediate attention
  • Assist with other ad hoc projects as needed 
  • Perform other general office and administrative tasks as required by the position

All you'll need for success

Minimum Qualifications- Education & Prior Job Experience

  • Strong organizational, interpersonal, oral and written skills

  • Formal letter writing and ability to proofread internal communications and external documents using advanced software features and functions of Microsoft Word 

  • Ability to work independently, be resourceful and multitask even in the absence of management or between direct assignments   

  • Ability to work productively and effectively under deadline pressure with all levels of management

  • Strong knowledge of Microsoft Office including Excel, Word, Access and PowerPoint

  •  Ability to possess the highest regard for confidentiality and professionalism

  • Ability to effectively communicate with all levels within the organization and the business community both verbally and written

  • Must fulfill FAA criminal background checks to qualify for unescorted access privileges to airport security identification display areas

Preferred Qualifications- Education & Prior Job Experience

  • College degree strongly preferred
  • Understanding of American policies, procedures, agreements and budgeting functions
  • Familiarity with legal documents (i.e. contracts, insurance certificates and invoices) preferred
