JOB PURPOSE:
To ensure timely execution of transactions related to Rental Reservations, Delivery, Collections, Movement of required cars from various locations, with increased allocation of vehicles for Walk-ins & overall improvement in customer satisfaction by adhering to agreed standards. 

 

Job Description :


Rental Reservations Manifest Execution


1.    Run daily reservations manifest for all branches in AbuDhabi with correct allocation of vehicles as per substitution matrix to dispatch vehicles as per requirement to all branches.
2.    Managing driver’s allocation for all transactions of vehicles. Dispatching reservation vehicles with time frame minimum 30 min in advance.

 

Rental Delivery and Collection.


1.    Manage vehicle delivery to customers- Contact customers and assign drivers
2.    Collect vehicles from customers – Contact customers and assign drivers
3.    Ensure all documents are collected and submitted as per agreed process. 

 

Walk Up


1.    Ensure 30% of total check outs for the day are provided as Walk up vehicles
2.    Liaise with the Yard team to ensure adequate stock of clean vehicles are available at all times.


Huddle Board update


1.    Update Huddle Board in each shift to ensure all correct data is up to date & huddle done daily with drivers & other associates to share important points.


Reporting


1.    Send an updated report of all required transactions (Delivery, Collections, movement of Cars, Inventory etc.) on a daily basis to the supervisor/manager.
2.    Email the Shift Handover document to the supervisor/manager at the end of each shift


Breakdowns assistance (After Office Hours)


1.    Attend to customer queries concerning service and maintenance after office hours i.e. from 08:00 PM to 08:00 AM and all day on Friday 
2.    Attend to Breakdowns and emergencies after office hours i.e. from 08:00 PM to 08:00 AM and all day on Friday.

 

Customer complaints and Resolution


1.    Ensure all policies and procedures are strictly adhered to ensure customer satisfaction.
2.    Where required customer challenges are escalated to the Leasing supervisor as per process agreed.
3.    Ensure that professional communications are upheld at all times by Email, Phone & Verbal. This is with internal and external customers.


Driver Management


1.    Reporting any lateness or sickness of drivers to the Leasing supervisor.
2.    Ensure all drivers assigned as per the schedule of vehicle requirement and there is no downtime in driver’s shift.


Lease Pro Management


1.    Ensure all transfers is done correctly. Check in and check out in appropriate branch. Open NRTs is closed on daily basis.
2.    Inventory of Ready to Rent and Walk in branch on daily basis to avoid ageing vehicles.
 

QUALIFICATIONS, EXPERIENCE, & SKILLS REQUIRED :


Minimum Qualifications and Knowledge: 


•    Bachelor’s degree or equivalent
•    Knowledge of MS-Office i.e. Word and Excel and other applications desirable
•    Good knowledge of roads and locations in the UAE and RTA legislations
•    Professional communication and presentation (written and verbal) skills
•    Excellent customer interaction skills


Minimum Experience:


•    Over 2 years’ experience in working in the automotive industry – Rental industry is desirable
