Every day, we go beyond what's expected and reach for the remarkable, together. **YOUR ROLE** Role Summary The Accounting Operations Office Supervisor manages a wide range of administrative, accounting and cross-divisional executive travel management activities essential to both the Accounting Operations team and the daily operations of the Managing Director (MD), Accounting Operations. In all areas of responsibility, this individual will exercise considerable discretion, utilize independent judgement, and develop solutions to complex problems within the scope of their people leader and office supervisor role. This individual will have strong organizational and time management skills and a professional, customer service-oriented demeanor. Scope & Complexity As a people leader, this role supervises the Seattle Campus Mail Specialist team. The Accounting Operations Supervisor independently oversees the execution of all administrative activities for the Managing Director, Accounting Operations and Alaska Airlines Accounting Operations activities and programs. Key Duties - Exercises considerable judgment in handling matters of a confidential nature as a travel accounting consultant for AAG Alaska Air Group executives. Establishes and maintains travel accounts for executives and interfaces with Employee Travel - Prepares quarterly and annual travel classification reports and ensures tax reporting deadlines are met - Supports the Managing Director, Accounting Operations with extensive calendar management on a daily basis, including coordinating scheduling requests from internal and external customers, executives and suppliers. Makes recommendations to optimize the MD's calendar, availability and priorities - Oversees administrative functions of and support to the Accounting Operations office and team. This includes coordinating ongoing maintenance of office property and oversees repairs when necessary - Submits work orders to building maintenance staff and maintains office supply inventory - Supervises the Seattle Campus Mail Room operation, leading the team of Mail Specialists - Responsible for service sale invoicing. Interfaces with operational & support divisions to obtain and process information for invoices to suppliers and business partners. Guides internal customers to prepare necessary invoice detail support - Maintains databases housing credit applications, monthly service sale invoices, and active commercial accounts - Establishes new commercial accounts, Value Travel Authorization (VTA) accounts, and Board of Director accounts - Responsible for coordination of the records retention program within Accounting Operations, including purging of credit applications to ensure compliance with company policy and day-to-day management of all records to/from off-site storage - Administers building and system access; approves access to Accounting Operations secured areas, access to multiple systems, and coordinates annual PCI audit related activities - Performs special analytical projects related to budgets and organizational charts - Performs other duties as assigned Job-Specific Experience, Education & Skills Required - A minimum of 3 years of administrative office support experience, experience supporting accounting or finance teams highly preferred. - Bachelor's degree with a focus in Accounting, Finance or Business, or an additional two years of training/experience in lieu of this degree - Advanced proficiency with Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). - Strong administrative skills, basic accounting skills, and familiarity with records management. - Detail oriented and highly organized, with ability to multi-task, prioritize, and work independently with limited guidance in a fast-paced environment. - Excellent communication skills (verbal, written, and listening), with ability to draft and prepare highly professional correspondence. - Strategic and creative thing skills, with an analytical mindset. - Demonstrates ability to use discretion while maintaining sensitivity to confidential matters. - Ability to adapt to various work styles and maintain good working relationships with internal and external customers. Positive, proactive approach, with the ability to have fun at work and help others do the same. - Ability to anticipate needs of the staff and maintain an upbeat, positive, can-do attitude. - High school diploma or equivalent is required. - Minimum age of 18. - Must be authorized to work in the U.S. Preferred - A minimum of 2 years of experience in the airline industry. - Experience working with cross-divisional teams.
