Every day, we go beyond what's expected and reach for the remarkable, together. **YOUR ROLE** Role Summary The Program and Events Specialist is responsible for developing and executing small to mid-scale company sponsored events for Alaska Airlines and Horizon Air. This role supports administration of several employee programs and helps with the budget development and management. This position promotes engagement and works closely with employees, internal business groups, volunteers and retirees, as well as various external vendors to successfully execute. Scope & Complexity Under the direction of the Manager, Programs and Events this individual contributor position plans, executes, and manages small to mid-scale company events in alignment with the brand image, objectives and business needs of company stakeholders. Key Duties - Apply events management techniques to plan and execute small to mid-sized company sponsored events and supports deployment of large events. - Coordinate event logistics to ensure cost-effective, timely and superior execution of assigned events in consultation with manager of program and events. - Organize and lead meetings to define and document event work, detailed schedules, resource plans, budgets, communication plans, and change management plans. - Create proposals and site-selection plans, establish space requirements, negotiate contracts appropriate to scale of event with vendors for supplies and catering, determine event flow, and ensure smooth event execution. - Oversee all logistics for event attendees, vendors, and partners including hotel and travel arrangements, procurement, permits, safety planning, and risk management. - Identify success criteria and manage the analysis for program and event effectiveness. Obtain employee feedback from volunteers and participants to identify needs and opportunities for improvement. - Anticipate, plan for, and resolve problems and issues before or as soon as they arise. - Develop and maintain close partnerships with internal business stakeholders. - Collaborate with marketing and community and external relations for assigned programs and events to share knowledge and information to ensure integrated and streamlined processes. - Partner with corporate communications and HR communications to effectively communicate events using tools to reach impacted employees and potential volunteers. - Provide execution and logistics support to more senior level program and events staff for the largest and most complex employee sponsored events. - Contribute to a positive work environment by modeling company values, meeting expectations and influencing others to provide outstanding performance. - Support maintenance of technology solutions such as company calendar of events, online contests/drawings, ticket sales & distribution and employee discounts. Job-Specific Experience, Education & Skills Required: - A Bachelor's degree with a focus in Human Resources, Communications, Project Management, Business Administration, or related field, or two years of project management or event planning experience in lieu of this degree. - Excellent communication skills; ability to present and develop materials for all levels of the organization as well as being a positive public representative of Alaska Airlines and Horizon Air. - Must be able to work independently, handle projects in a fast-paced environment and negotiate and collaborate effectively. - Ability to research, design, execute and manage small to mid-scale programs and events. - Must be able to travel and work odd hours at various times throughout the year. Preferred - Ability to manage programs; have basic PR experience as well as a proven record in developing successful, engaging events. - Basic web management and Proficiency with Microsoft applications, eg: Word, Excel, PowerPoint, and Outlook.
