Every day, we go beyond what's expected and reach for the remarkable, together. **YOUR ROLE** Role Summary The Programs & Events Coordinator is responsible for supporting the administration and logistics for multiple company sponsored programs and events at Alaska Airlines and Horizon Air. Scope & Complexity As a member of the Programs & Events team, this individual contributor role coordinates and helps execute employee programs and training events, supports programs such as recognition and archives, and provides backup coverage for the front desk reception. The primary focus is administrative duties such as report generation, updating department web sites, answering emails, preparing event materials, and supporting events. Key Duties - Supervised to deliver support for programs and events. - Provide support for employee programs and regular training events, which can include booking venue, scheduling resources, arranging travel, and ensuring access to and support for audio/visual equipment. - Partner with divisions to schedule and coordinate course dates/locations and facilitators/speakers. - Follow established procedures, with additional research, to deliver/decide on approach to meet business needs for scope of work. - Liaise with vendors for event-related matters. - Partner with specialists and stakeholders to identify needs and identify solutions. - Provide backup support for front desk reception. - Perform routine support for employee programs, which may include: - Maintain training and participation schedules and records. - Approve all kudos posted to Alaska's World and On Your Horizon. - Distribute service pins and service letters each month and ensures that holiday and summer prize drawing distribution are executed each year. - Order recognition awards and supplies and ships recognition awards to recipients. - Answer the incoming Special Events and Community Involvement email. - Update event recap documents and follow up surveys. - Update website Calendar of Events, AS/QX Event Hub, What?s Happening, etc. - Support the Alaska Air Group Historical Archives project by answering email requests, researching information, coordinating the collection intake, and working closely with our museum partners. - Order all necessary supplies for Employee Engagement Programs. - Organize set up and clean up for events as necessary. - Provide input on ways for team to improve its processes. - Create and distribute reports on events feedback and participation. - Support Specialists and customers on all aspects of event planning. - Work with Employee Engagement and Recognition to support collection and use of employee recognition data. Job-Specific Experience, Education & Skills Required - 2 years of experience in an administrative or coordinator function or related area. - Detail oriented and highly organized, with the ability to execute on multiple projects, priorities, and deadlines, and work independently with limited guidance in a fast-paced environment where flexibility is key. - Excellent communication skills (e.g., verbal, written, and listening). - Ability to work flexible schedules. - High school diploma or equivalent. - Minimum age of 18. Preferred - 1 year of experience coordinating special events. - Strong interpersonal skills, with the ability to create collaborative relationships with others in the organization.
