Job Title:                                         Supervisor – Facilities Management

Job Purpose

The purpose of this job is to support Residential and Commercial Facilities manager to manage the assets under his scope in accordance to the contracts, regulatory and industry standards, which may include but limited to complying to the performance management system of the contract, by implementing KPI and SLAs and to manage the Residential Units Reinstatement, Refurbishment and Handing/ Taking over.

 

Key Accountabilities

Contract Management:

  • Responsible to supervise the day to day part of the contracts by ensure all site visits and auditing work is completed as per the performance management system of the contract. Evaluate additional work against the contract. Validate invoices after verification of works.

Site Works:

  • Assist to manage overall FM service delivery efficiently for residential and commercial.
  • Assist to set budget and delivery on time.
  • Deliver 90% KPIs monthly.
  • Carryout regulatory compliance audits to ensure assets are in line with local authority regulations.
  • Carryout monthly building audits and PPM audits.
  • Carryout quarterly HSE audits.
  • Monthly CAFM cost report verification.
  • Supervise variable jobs third party contractors.
  • To attend/investigate tenant complaints and report to Facilities Manager.
  • To coordinate with property management, execute apartment handing over / taking over with tenant after doing inspection.
  • Coordinate with service providers for inspecting vacant apartments, obtain quotations, verify work completion and handover apartment to property management to lease

Verification of Invoice and Payment release:

  • Receive and review with Facilities Manager all the invoices submitted for payment by the service providers. Obtain inter FM department approval on the completion of the works and ensure that invoices have the necessary back up documentation. 

Inter Departmental Communication

  • Communicating with a number of departments to ensure job requests are processed from conception through to completion is critical to prevent delays in the commencement of work and processing of invoices

Risk Management:

  • Identify the asset risk and assist Facilities Manager to prepare risk register and contingency plan for assets.

Management Report:

  • Collate relevant information and produce reports for FM management team to advice on status of assets and any challenges that need to be mitigated.

Filing and Document Circulation:

  • Responsible for filing and document circulation within FM department and AFRE for all FM commercial related documents (Contracts, PO, Service reports).

Ad-hoc tasks:

  • Support the facilities management team with any related to the assets and coordination tasks if the business requires.

 

Qualifications, Experience & Skills

Minimum Qualifications and Knowledge:

  • Degree or Diploma in Engineering / Facility Management

Minimum Experience:

  • 8 years’ experience in supervisory work in facility management, preferably in Residential Buildings
  • 8 years Excel / MS Office experience

Job-Specific Skills:

  • Accuracy and on time reporting
  • Technical evaluation of challenges and site and devise solution to mitigate
  • Proven track of Technical Excellence and Root Cause Analysis
  • Accuracy in handling all administrative tasks, such as tracking documents, work orders and payments
  • Solid background of Residential units Reinstatement works and General Refurbishment
  • Effective written, verbal and listening communication skills
  • Ability to multi task
  • Excellent interpersonal skills
